Saved RO Lines lets a shop set up a job, fee, or labor rate once and add it to any repair order in two clicks instead of retyping the description and price every time. It lives in Settings and shows up as a "Saved" option whenever staff add a line item to a repair order.

The problem it solves

Most shops run the same handful of jobs over and over: an oil and filter change, a diagnostic fee, a multi-point inspection, a detailing package. Without a saved list, every one of those gets typed out fresh on every repair order, description and price included, which is slow and invites typos or an inconsistent price sneaking in. Saved RO Lines fixes that by moving the setup work to a one-time step.

Setting up a saved item

  1. Go to Settings → Saved RO Lines. Only owners and managers can add or edit this list; everyone else sees it read-only when applying it to a repair order.
  2. Click "Add Item." A new row opens right in the table.
  3. Fill in the type, display name, and description. For example: type Labor, name "Oil & Filter Change," description "Oil and filter change, up to 5 qts." The description is what actually shows up on the repair order and invoice.
  4. Set the default price (and labor hours, if it's a labor line worth tracking time against), then click the checkmark to save.

Applying it to a repair order

  1. Open any repair order and click "Add Item" on the Line Items card.
  2. The type dropdown defaults to "⚡ Saved." A search box appears right there, no extra click needed.
  3. Search for the item and click it. The description, quantity, and price all fill in automatically, still fully editable before you save.
Set the price to $75 once. Every repair order after that, it's search "oil," click, done, no retyping the description or the price.

Save an item with the alternate hourly rate as the price and a quantity of 1. When applying it to a job, edit the quantity to match the actual hours worked, so the line total comes out to rate times hours without retyping the rate itself.

Who can do what

Owners and managers manage the list, adding, editing, and removing saved items. Service writers and technicians can search and apply any saved item to a repair order, but can't change the underlying list, which keeps pricing consistent across everyone on the team. Deleting a saved item never touches repair orders it was already applied to; it only removes it from future searches.
